Empassion Pelvic Health is a specialty therapy clinic looking for a warm, organized, and reliable Part-Time Front Desk Coordinator to support our daily clinic operations and patient experience.

This role is ideal for someone who enjoys helping people, keeping things organized, and creating a calm, welcoming environment. You’ll be one of the first faces patients see when they arrive and an important part of making their visit run smoothly.

What You'll Do
Create a welcoming patient experience:

Greet patients and help them feel comfortable when they arrive

Check patients in and out and assist with payments

Answer basic questions and help patients know what to expect

Schedule follow-up appointments before patients leave

Occasionally hold babies or play with children
Support scheduling and communication:
-
Answer phones for appointment-related needs (cancellations, reschedules, confirmations)

Return messages related to scheduling
-
Call patients to confirm upcoming appointments or remind them of needed paperwork

Communicate schedule changes to the therapy team so everyone stays informed
Handle paperwork and front desk organization:​

Prepare and organize patient paperwork

Scan, file, and properly route documents
-
Ensure patient information is handled accurately and confidentially

Help keep the clinic running smoothly:

Open and/or close the clinic following set procedures
-
Keep the front desk and shared spaces clean and organized
-
Prepare treatment rooms with clean linens and supplies
-
Stock supplies, unpack deliveries, and alert leadership when items need replenishing

Assist with general daily tidiness (trash, light cleaning, organization)

What We're Looking For​

Friendly and professional with strong people skills

Reliable, punctual, and detail-oriented

Calm under pressure and comfortable multitasking

Team-oriented and willing to support others

Takes pride in keeping a clean, welcoming space
Experience in a front desk, customer service, medical office, or hospitality role is helpful but not required. We’re happy to train the right person.

Part-time: 20–30 hours per week

Reports to the Lead Front Office Coordinator
